About the Role

We are seeking a highly professional and proactive Executive Assistant (EA) to support the Chief Executive Officer and Mayor with high-level executive, secretarial and administrative assistance. This pivotal role serves as the main point of contact for the Office of the CEO and Mayor, requiring strong interpersonal skills, political acumen, and the ability to operate with discretion and professionalism in a dynamic and often sensitive environment.

The EA will be responsible for ensuring the CEO and Mayor’s time is optimised through effective scheduling, prioritisation of requests, and support in all aspects.

Working Hours:

  • Monday – Thursday: 8:00am – 12:00pm & 12:45pm – 4:45pm
  • Friday: 8:00am – 12:15pm

Please note: If you reside in Cairns, you will need to be willing and able to commute under an hour each day to reach the Client site.

Key Responsibilities:

  • Be the first point of contact for the CEO and Mayor; redirect and manage enquiries as needed
  • Manage diaries, schedule appointments, and coordinate travel and accommodation
  • Prepare agendas and take minutes for Council meetings using Infocouncil
  • Distribute Council documents and ensure legislative compliance with document handling
  • Support administrative functions across governance, councillor services, grants, and land management
  • Ensure procurement processes and credit card usage meet policy standards
  • Support communications related to strategic initiatives, community engagement, and advocacy
  • Maintain strict confidentiality and professional conduct at all times

About You

  • At least 5 years’ experience in an executive support role
  • High-level computer skills, particularly in Microsoft Office
  • Current open Queensland Driver’s License
  • Exceptional interpersonal and time management skills
  • Demonstrated ability to draft high-quality written correspondence
  • Proven discretion and ability to work with sensitive information
  • Strong research and problem-solving abilities
  • Ability to build and manage relationships across all levels of an organisation
  • Customer-focused with a commitment to service delivery excellence
  • Understanding of local, state, and federal government operations
  • Experience working in Indigenous or remote communities
  • Ability to quickly summarise complex information from verbal and written source
